CerimoniereWeb

CerimoniereWeb for universities

Academic precedence is in no statute. Vice-chancellor, pro-vice-chancellors, deans, heads of department, senate and governing body follow the order each institution has set for itself. CerimoniereWeb holds all of them, alongside the external authorities sitting in the front row.

The ceremonies of a university

  • Opening of the academic year

A full great hall, the academic procession, the civil and military authorities of the region in the front row beside the university's own bodies. It is the ceremony with the widest range of offices to compose at once.

  • Graduations and conferrals

The board at the front, graduands and families in the hall. Sessions repeat dozens of times each round: clone the previous ceremony and change only the names.

  • Honorary degrees

The recipient is a guest of standing and brings their own party. The hall has to hold the academic order and the order of the invited authorities together.

  • Emeritus conferrals

Short ceremonies, dense with academic offices, where seniority in post weighs as much as the office itself.

  • Installation of a vice-chancellor

The head of the institution changes and the whole top of the protocol changes with them. You make the change once, in the register of offices, not ceremony by ceremony.

  • Conferences with visiting authorities

External guests, foreign delegations, institutional representatives: they go into the same registry and the same protocol as the rest of the university.

You write the academic protocol

National precedence statutes govern public office holders and say little or nothing about academic bodies. So every university has its own order, written into its regulations or settled by custom, and it does not match the university down the road.

In CerimoniereWeb the two official protocols arrive ready to use. Alongside them you define your own: the categories, the subcategories, the offices inside each category, and how people holding the same office are ranked against each other. Seniority in post, age, alphabetical order: the tie-breaks are yours to choose.

From there one registry serves every ceremony of the year. At the opening of the academic year you apply the university protocol together with the territorial one for the visiting authorities; at a graduation you apply something leaner. The people are the same, only the rule that orders them changes.

Everyone working the ceremony sees what they need

The registry is not only for the protocol office. Ushers at the door, hall staff and the security detail need to know who is who, and to know it at the right moment. The records carry name, office, photograph and, where it applies, who the person is representing, and they print as a list ordered by seat or alphabetically.

With the check-in app the same information reaches the phone of whoever is on the door, along with live attendance and QR code scanning of the invitations.
