Person, office, institution, appointment

The model keeps four things apart. The person is John Smith. The office is “director” or “minister”. The institution is the university, the bank, the ministry. The appointment is the last two combined, with a start date and, where it applies, an end date.

One person can hold several appointments at once, and invitations use the most senior of them. When somebody moves on you close one appointment and open another: the person’s record stays as it is, and whoever held that office at last year’s ceremony stays on the record.

You do not start from an empty archive

The data you use now, in a spreadsheet, in an old database or in a list maintained by hand, we load into CerimoniereWeb during onboarding. Between offices already on the platform, records are exchanged by import and export on a shared format.

The Registry menu holds every table linked to people and offices, from contact details to contact types, and you adapt them to the way your office works.

It is not only for the protocol office

The people who make a ceremony run need the same information: ushers, drivers and the security detail. With the appropriate safeguards on confidentiality, each of them sees what their job requires.

That is how a new guest gets recognised at the door, how somebody arriving as another guest’s representative is identified, and how you notice a person who should not be there.

Built for invitations

The records are structured around what protocol work actually needs: the details that drive the invitations, the first phone contact and the confirmation calls the secretariat makes.

To set up a new ceremony you can clone one you have already run. The structure stays, and you update only what has changed.
